This Privacy Policy explains what information the Trackolet app collects, how we use it, and the choices you have. Trackolet is developed and operated by Digitaaz ("we", "us", "our").
It applies to the Trackolet Android app (package app.trackolet.default) and the services it connects to.
The short version: Trackolet is a fleet tracking app for businesses. It shows you where the GPS devices fitted to your vehicles are. It does not track your phone's location. We do not sell your data, and the app contains no ads or advertising trackers.
How accounts work
You cannot sign up for Trackolet from inside the app. Your account is created for you by the company you work with — your employer or fleet operator. That company decides what information is stored about you, which vehicles you can see, and how long your account stays active. If you have questions about why certain information about you is being kept, please speak to your company's administrator first. We are also happy to help.
Information we collect
Account details. Your name, username, email address, mobile number, role and permissions, and profile photo if one is uploaded. These are provided by your company when your account is created.
Login information. Your password, which is scrambled (hashed) on your phone before it is sent to us, so we never see or store it in readable form. We also store a session token on your device to keep you signed in, along with basic login activity so we can keep your account secure.
Device details for notifications. If you allow notifications, we store a notification token for your phone, a device identifier, and your phone's make and model. This is only so alerts reach the right handset, and so old registrations can be cleaned up when you sign out.
Vehicle and trip data. The app displays information sent by the GPS hardware installed in your company's vehicles — location, speed, ignition status, trips, routes, distance, geofence events, over-speed alerts, SOS alerts and similar records. This comes from the tracking devices and our servers, not from your phone.
Things you upload. Documents, photos and text you add to tickets, vehicle records and forms in the app.
Files saved to your phone. When you export a report, the app saves the PDF or spreadsheet to your device so you can open or share it. Those files stay on your phone and we do not read them back.
Basic technical information. When the app talks to our servers we record standard details such as your IP address, the time of the request and any errors, so we can keep the service running and secure.
What we do not collect
- Your phone's location. The app does not ask for location access and cannot track your handset — not in the foreground, and not in the background.
- Your contacts, calls, text messages, calendar or microphone.
- Photos or video taken in the background.
- Anything for advertising. There are no ad networks or advertising trackers in the app.
We never sell or rent your information to anyone.
How we use your information
- To sign you in and keep your account secure
- To show you the vehicles, trips, maps, dashboards and reports your company has given you access to
- To send you alerts such as SOS, geofence and over-speed notifications
- To let you attach documents to tickets and records
- To contact you about your account or important service changes
- To fix problems, prevent misuse and improve the app
Permissions the app asks for
| Permission | Why we need it | Can you say no? |
|---|---|---|
| Internet | To connect to the Trackolet servers. The app cannot work without it. | No |
| Notifications (Android 13 and above) |
To show alerts such as SOS, geofence and over-speed events. | Yes. The rest of the app works normally if you decline. You can change this any time in Settings → Apps → Trackolet → Notifications. |
The app asks for nothing else — no location, camera, contacts or microphone access.
Who we share information with
- Your company. Administrators at your organisation can see the accounts, vehicles, trips and records in their own workspace. Each company's data is kept separate — one company cannot see another's.
- Google. We use Google Firebase Cloud Messaging to deliver notifications, and Google Maps to display maps. Google receives the information needed to provide those features, such as your notification token and the map area you are viewing.
- Our hosting provider, which runs the servers behind the app on our behalf.
We may also share information if we are required to do so by law, or if it is needed to protect the safety and security of our users and our service.
How long we keep information
- Your account details are kept while your account is active with your company, and afterwards for as long as that company asks us to keep them.
- Vehicle and trip records are kept so historical reports stay available, based on your company's plan.
- Notification tokens are removed when you sign out or uninstall the app.
- Session tokens on your phone are cleared when you sign out or your session expires.
- Technical logs are kept for a short period, then deleted.
How we protect your information
- All traffic between the app and our servers is encrypted using HTTPS.
- Passwords are hashed on your phone before they are sent, and are never stored in readable form.
- Session tokens are stored in Android's secure hardware keystore, not in ordinary app storage.
- Android device backups are switched off for the app, so its data cannot be copied off your phone by backup tools.
- Access to live data is limited to authorised staff who need it.
No system is perfectly secure, so we cannot promise absolute protection. Please keep your login details private and tell us straight away if you think someone else has used your account.
Your choices
- Turn notifications on or off at any time from your phone's settings.
- Ask us to correct information about you that is wrong or out of date.
- Ask for a copy of the information we hold about you.
- Ask us to delete your account — see below.
Because your company manages your account, we will usually check with them before making changes. Write to us at contactus@digitaaz.com and we will respond within 30 days.
Deleting your account and data
You can ask us to delete your account at any time:
- Email contactus@digitaaz.com with the subject "Account deletion request".
- Include your name, the email address or mobile number on your account, and your company name so we can confirm it is really you.
- We will confirm with your company where needed, then delete your account.
What gets deleted: your account, profile details, login credentials, notification registrations and app preferences.
What may stay: vehicle and trip records, which belong to your company as business records, and anything we have to keep for accounting or to settle a dispute. Wherever possible, those records are separated from your personal details.
Deletion requests are completed within 30 days. Uninstalling the app clears data from your phone but does not delete your account, so please use the process above.
Children
Trackolet is a work tool for businesses. It is not intended for children, and we do not knowingly collect information from anyone under 18. If you believe a child has given us their information, contact us and we will remove it.
Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top always shows the current version. If we make an important change, we will let you know in the app or by email. Continuing to use the app after an update means you accept the new version.
